Cash drawer management and reconciliation

Know how much cash should be in the drawer at any moment, and find out at close whether it is all there — without adding up receipts by hand.

SageBizet Cash drawer is a free cash reconciliation tool: open a session with a float, watch expected cash rise with every cash sale, and count at close to record whether the drawer was over or short.

What cash drawer does in SageBizet

  • Expected cash, live

Open the drawer with a float and SageBizet adds every cash sale to it as the day goes on, so the expected total is always on screen — not worked out at the end of the night.

  • Count once, see the difference

At close, count the drawer and enter the total. SageBizet records what was expected, what was counted and the difference, over or short.

  • A history you can look back on

Every closed session is kept with its float, cash sales, expected and counted amounts, so a pattern of short closes is visible rather than forgotten by next week.

  • Variances that reach you

When a drawer closes noticeably over or short, a notification goes to the business, so an owner who is not at the counter still hears about it the same day.

  • A streak worth keeping

SageBizet counts your run of clean closes — sessions that balanced — which gives the team a simple, visible goal for careful cash handling.

How it works

  1. 01

    Open the drawer

At the start of the shift, enter the float — the cash already in the drawer for change.

  2. 02

    Sell as usual

Each cash sale at the POS raises the expected cash. Card, mobile and tab sales do not, because that money is not in the drawer.

  3. 03

    Count and close

At the end of the shift, count the cash and enter the total. The difference from expected is recorded as over, short or balanced.

  4. 04

    Review the history

Look back over past sessions to see how often the drawer balances and when differences happen.

How cash drawer reconciliation works

Reconciling a cash drawer means comparing the cash that should be there with the cash that is. The expected figure is the float you started with plus the cash you took in sales. Counting at close and recording the difference every shift turns a vague sense that “the till is sometimes short” into a record you can act on.

An example close, in any currency
LineAmountWhere it comes from
Opening float200.00Entered when the drawer was opened
Cash sales1,450.00Every completed cash sale since opening
Expected cash1,650.00Float plus cash sales
Counted cash1,635.00Entered at close
Difference−15.00 (short)Counted minus expected

Common reasons a drawer is over or short

  • Wrong change given — the most common cause, and the one quick-cash buttons and automatic change calculation at the till are there to reduce.
  • A card or mobile payment recorded as cash, or the other way round.
  • Cash taken from the drawer to pay for something, without a record.
  • A sale handed over but not rung up.

What it does, and what it doesn’t

Straight answers, so you know before you sign up whether it fits.

It does

  • Opens a drawer session with a starting float
  • Shows live expected cash: the float plus cash sales since opening
  • Records the counted amount at close and the difference, over or short
  • Keeps a history of every closed session
  • Tracks a streak of balanced closes and notifies the business of variances
  • Lets owners choose which roles can open and close the drawer
  • Records cash put in or taken out during a shift with a reason, so expected cash still adds up
  • Runs several registers, each with its own drawer and its own sales, plus a shift report

It doesn’t

  • Track a card terminal’s batch — card payments are recorded, but only cash is counted against the drawer
  • Count the notes and coins for you — someone counts the drawer and enters the total
  • Process card payments or replace accounting software

Cash drawer: common questions

Is the SageBizet cash drawer feature free?
Yes. SageBizet is free during early access, with the cash drawer, POS and every other feature included, no credit card and no per-user fees.
How does SageBizet calculate expected cash?
Expected cash is the opening float plus every cash sale since the drawer was opened. Card, mobile money, other and tab sales are not included, because that money is not in the drawer.
What happens when the drawer is over or short?
SageBizet records the difference between expected and counted cash on that session, and a noticeable variance raises a notification, so the owner hears about it even when not at the counter.
Do I need a special cash drawer to use this feature?
No. The cash drawer feature tracks the money, not the hardware: any drawer, box or till you already use works, because you count the cash and enter the total yourself.
Can I stop staff from closing the drawer?
Yes. Opening and closing the drawer is a permission, so owners can decide which roles may do it and build custom roles from 29 granular permissions.
