Expense tracking and daily profit

A busy day is not always a profitable one. Record what you spend and SageBizet shows what you actually made — today, this week or this month.

SageBizet Expenses is a free expense tracker that records each cost with a category, amount, date and note, and subtracts expenses from takings to show net profit for every day and any period.

What expenses does in SageBizet

  • Profit, not just takings

Net profit is takings minus expenses, worked out for each day and for any period, so a day that looked busy but cost more than it brought in is easy to spot.

  • Quick to record

Each expense is a category, an amount, a date and an optional note — no forms to fill in beyond that — and it counts toward profit as soon as it is saved.

  • Next to your sales

Expenses sit beside the sales you ring up at the POS, so takings, costs and profit come from one place instead of a till report and a separate spreadsheet.

  • Compared with last period

Insights puts expenses and net profit next to the previous period and charts whether each day paid for itself.

How it works

  1. 01

    Record an expense

Enter the amount, choose a category such as rent, stock, wages or utilities, set the date and add a note if it helps.

  2. 02

    Keep it current

Record costs on the day they happen, including cash taken from the till, so each day’s profit is accurate.

  3. 03

    Read your profit

Read net profit day by day and for any period of up to 92 days in Insights, compared with the period before.

Why a small business needs daily profit, not just daily sales

Takings tell you how much came in. Profit tells you whether the business is working. A café can have its busiest month of the year and still lose money if rent, stock and wages rose faster. Recording expenses in the same system as sales means you see both numbers together every day, instead of finding out at the end of the quarter.

An example day, in any currency
LineAmount
Takings2,400.00
Expense: stock delivery−900.00
Expense: wages−600.00
Expense: electricity−150.00
Net profit for the day750.00

Two ways to count the cost of stock

Net profit in SageBizet is takings minus the expenses you record, so stock you buy counts when you record the purchase as an expense. That is simple and matches cash leaving the business. To see what each item earns when it sells, add cost prices to your items and read profit by item in Insights — the same idea as cost of goods sold.

What it does, and what it doesn’t

Straight answers, so you know before you sign up whether it fits.

It does

  • Records expenses with a category, amount, date and note
  • Calculates net profit as takings minus expenses, daily and for any period
  • Shows expenses and net profit against the previous period in Insights
  • Charts whether each day covered its costs
  • Works in any currency and follows the business’s own day

It doesn’t

  • Run payroll — record wages paid as an expense instead
  • Prepare tax returns or replace accounting software
  • Attach receipt photos to expenses
  • Repeat recurring expenses automatically — each one is entered when it is paid
  • Connect to a bank account or import bank statements
